Full Day / Month of Co-ordination Package – $2,500
You’ve planned every detail with love—now let us bring it to life. This package is for couples who want a truly stress-free wedding day and a seasoned planning team to execute it flawlessly. We step in the month before, handle timelines, vendors, and your rehearsal, and take care of all your DIY décor and florals from setup to pack-up. No add-ons, no surprises—just full coverage, total peace of mind, and a wedding day you can fully enjoy.
If you have a heavy DIY decor and floral setup of items you purchased or rented, this package is for you. There is no extra fee’s it’s all inclusive.
This will include us setting up all your DIYs and packing them up at the end of the night as well.
We will attend your rehearsal/site visit, create your agenda, and confirm your timelines with all vendors a week prior to the wedding.
- This package is priced to include coordination of the full day and help with your DIY Decor and Floral Set up and Take Down
- If you are hosting a wedding of 250 or fewer guests, if your guest count is higher, no worries, we still have you covered. See below for Extra Costs.
- Your Ceremony and Venue can be at different locations; there is no additional charge unless it’s outside of the GTA
- SOUTH ASIAN WEDDINGS
- This is a perfect day of coordination package, which can be divided into 2 or 3 events. A South Asian Pre-wedding, Ceremony, and Reception.
- Because it requires us to do 2 Agenda Meetings for 2 seperate days, calling and confirming with vendors for both days, there will be an extra $350.fee. You may need to add extra hours of coverage if using this package to cover more than 2 events.
What this Package Includes
Pre-wedding co-ordination includes
- Welcome Call with your assigned Lead Planner ( Zoom or Google Meet call – up to 45 Minutes)
- Creation of the Preliminary agenda and timeline up to 1.5 months before ( 2-hour meeting )
- Unlimited emails or phone calls from 1.5 months before the wedding day
- Final Agenda meeting to finalize Itinerary to be done with your assigned Lead Planner at 7-10 days prior to your wedding day
- Vendors are to be called the week of to confirm the agenda and timelines
- Agenda to be emailed out to Vendors by the Wedding Planning Team by no later than Tuesday
- Reminder Letters and Checklists are to be sent out to keep our couples organized for all deadlines, and Checklists to go out at 3 months and 1 month to go
On the Wedding Day
- Includes 1 Lead Planner, 1 Assistant Planner for 12 hours each, 24 hours combined.
- All DIY Decor and Floral to be set up and then packed up at the end of the night
- To ensure all Décor and Floral is executed as per the couple’s wishes, and to review the contract to ensure nothing is missed
- Deal with any issues that may arise on the day of the wedding
- Liaison with the Venue Manager and all other Vendors
- Ensure the comfort of all guests, the bridal party, and parents, or answer any questions if needed
- Ensure that all guests with allergies receive appropriate dietary dinners
- Review the seating plan prior to the reception for accuracy
- Greet guests as they arrive and direct them if needed
- Keep the agenda as per the schedule, working with the Venue Captain to ensure food comes out hot
- To provide a 5-minute reminder for all those who are giving speeches
- Ensure the Bride and Groom have a blast and get to eat their food on their wedding day
- Support to the Bridal Party and Family to ensure their day is also flawless from beginning to end
- Planners can make final payments, tips, or gratuities to vendors on the day of, with a Promissory Note, and get a sign-off to ensure everyone is paid
- Bridal Consultant to have an Emergency Kit for the Bride and Groom on hand
- Rehearsal is included in this package for 1 of your planners to attend for 1-1.5 hours to do 2 full walk-throughs and to teach proper procession and recession etiquette
- Adding a Full DIY Decor and/or Floral Set up and Tear Down – This is included in this package with no extra cost
Extra Costs
- If the Ceremony or Venue is outside the GTA (farther than 35 minutes from our studio address), add a $100 Travel Fee to the package price
- Farther than 45 minutes from the Studio, add $ 175
- Over 1 hour from the Studio address – a $225 fee will be added
- If there is a rehearsal the night before and the Venue is over 1 hour from the studio address, a pre-paid hotel room will be added ( Max $175 per night – Trade Sensation will pay the difference if it’s more)
- Requests for Senior Lead Planners Debbie Justin, Suzzette, or Samantha to lead with this package (all have 10 plus years of experience), please add an extra $100
- Full Month and Day of Coordination can also be customized to the client’s needs. Fewer hours of coverage, more hours for support. Just let me know, and we will create something around your budget.
- Extra hours are $100 per hour. Any hours after 3 hours can also be calculated at $75 per hour
- Bundle 3 hours for $250,
- Bundle 6 hours for $400
How can I save costs on this package?
- Option to remove 4 hours from Assistant Planner, so they are 8 hours instead of 12 hours, save $ 200 – Package total is $2,300, instead of $2,500
- Option to remove 5 hours from Assistant Planner, so they are 7 hours instead of 12 hours, save $275 – Package total is $2,225 instead of $2,500
- Remove welcome call with Lead Planner at 3 months before – save $50
- Remove Lead Planner leading/attending a Rehearsal or an On-site Venue Visit – Save $195
