This Promo Day-Of Coordination package is for couples who get the value of having a pro run the show. We handle the timelines, vendors, décor details, and any last-minute surprises so you, your partner, and your families can relax and enjoy every moment. Designed for intimate weddings and single-location celebrations, this promo-priced package delivers big peace of mind—without you lifting a finger on the day.
- This package is promotionally priced if you are hosting an intimate wedding of 150 or fewer guests,
- If your Ceremony and Venue are at the same location. ( Different ceremony location add $195 )
- This package does not have enough coverage for a heavy DIY Decor and Floral Setup and Tear Down, but it can be added on
- If you would like to add a full DIY decor / floral setup to this package of your own personal items or rentals. The add-on is from $250 – $350 extra, but includes 1 extra planner for 3 hours, or add 3hours to the 18 hours already included in the package, for 21 hours combined
What this Package Includes
Pre-wedding co-ordination includes
- Welcome Call with your assigned Lead Planner ( Zoom or Google Meet call – up to 30 Minutes)
- Creation of the Preliminary agenda and timeline up to 1 month before ( 2-hour meeting )
- Unlimited emails or phone calls from 1.5 months before the wedding day
- Final Agenda meeting to finalize Itinerary to be done with your assigned Lead Planner at 7-10 days prior to your wedding day
- Vendors are to be called the week of to confirm the agenda and timelines
- Agenda to be emailed out to Vendors by the Wedding Planning Team by no later than Tuesday
- Reminder Letters and Checklists are to be sent out to keep our couples organized for all deadlines, and Checklists to go out at 3 months and 1 month to go
- Vendor Final Payments, Tips, and Gratuities to be paid out by Lead Planner, and give the Sign off sheet back to the couple
- Does not include a Planner attending the Rehearsal or for a site visit, but can be added for $ 195 extra
On the Wedding Day
- Includes 1 Lead Planner, 1 Assistant Planner for 9 hours each, 18 hours combined.
- To ensure all Décor and Floral is executed as per the couple’s wishes, and to review the contract to ensure nothing is missed
- To help with the organization and layout of all couples’ DIY items, e.g., Menu, Favors, Place cards, Receiving Line Table, Cake and Knifer Server, Champagne Flutes, and DIY Decor or Floral
- Deal with any issues that may arise on the day of the wedding
- Liaison with the Venue Manager and all other Vendors
- Ensure the comfort of all guests, the bridal party, and parents, or answer any questions if needed
- Ensure that all guests with allergies receive appropriate dietary dinners
- Review the seating plan prior to the reception for accuracy
- Greet guests as they arrive and direct them if needed
- Keep the agenda as per the schedule, working with the Venue Captain to ensure food comes out hot
- To provide a 5-minute reminder for all those who are giving speeches
- Ensure the Bride and Groom have a blast and get to eat their food on their wedding day
- Support to the Bridal Party and Family to ensure their day is also flawless from beginning to end
- Planners can make final payments, tips, or gratuities to vendors on the day of, with a Promissory Note, and get a sign-off to ensure everyone is paid
- Bridal Consultant to have an Emergency Kit for the Bride and Groom on hand
Extra Costs

- If your guest count is over 150, add $100 extra
- If the Ceremony or Venue is outside the GTA (farther than 35 minutes from our studio address)
- Add a $100 Travel Fee to the package price
- Farther than 45 minutes from the Studio, add $ 150 Travel Fee
- Over 1 hour from the Studio address – a $200 Travel Fee
- If there is a rehearsal the night before that the WP needs to attend and the Venue is over 1 hour from the studio address, a pre-paid hotel room will be added ( Max $175 per night – Trade Sensation will pay the difference if it’s more)
- Requests for Senior Lead Planners Debbie Justin, Suzzette, or Samantha to lead with this package (all have 10 plus years of experience), please add an extra $100

- Extra hours are $100 per hour. After 3 hours can also be calculated at $75 per hour.
- Bundle 3 hours for an extra $225,
- Bundle 6 hours for an extra $400
- Add in a Rehearsal or On- site Venue Visit or Walkthrough to this package, it’s an extra $195 fee.
- This package can be divided into a 2 or 3-day South Asian Event Package – 2 Events = 2 Agenda Meetings, 2 Sets of calling and confirming with vendors for both days – an extra $350 will be added for the extra prep work. May need to add an extra hour “bundle” if using this package to ensure proper coverage. We recommend the Full Day / Month of Coordination package if you are splitting hours between 2 or more pre-wedding events.

How can I cut costs on this package?
- Option to remove 4 hours from Assistant Planner, so they are 5 hours instead of 9 hours, save $ 200 – Package total is $1,750 instead of $1,950
- Option to remove 5 hours from Assistant Planner, so they are 4 hours instead of 9 hours, save $275 – Package total is $2,150 instead of $2,500
- Remove welcome call with Lead Planner at 3 months before – save $50
